Booking Procedure

Here is a reminder of Important Booking Requirements that applies to Partner Agencies.

Cork English Academy requires the following details at least 4 weeks before course start date:

  1. Online Level Test Results (Part 1 Multiple Choice + Part 2 speaking test)
  2. Payment in full

    • Payment needs to have reached the school account at least 4 weeks before course start date.Please send proof of payment in advance – about 32 days before course start to ensure payment is in the school account 4 weeks before start date).Partner agencies, are not required to pay a booking deposit. We would like to receive either of the following:Full nett from the agency in one payment Full gross from the agent in one payment (where we would then send commission to you after the student has started their course)
    • If the student wants to pay deposits or instalments this must be through your agency and to your agency bank account. You can then send us payment at least 4 weeks before arrival.
  3. Flight Arrival*
  4. Passport (non-EU 25 week /Stamp2/ Work and Study/ Visa related bookings only)
  5. Address in Cork (if accommodation is not booked through the school)

If accommodation is booked through the school:

  1. Student Phone Number

If host family is booked through the school:

  1. Host family pick up time and location

If all details are not received at least 28 days before arrival the booking will automatically be cancelled (refunds will be processed where applicable). 

* Monday After Arrival Start Date Mandatory

It is mandatory that all Work and Study/ stamp 2/ visa related students start their course the immediate Monday after flight arrival to Ireland. There are a few reasons for this. 

Immigration: 

This is school policy but also Immigration policy as Immigration  state students can not ”front-load” holidays. 

Some schools might treat Immigration rules differently.  Here at CEA we follow them carefully. Keeping within the requirements helps avoid unnecessary Immigration questioning of students later, during their face to face Immigration meeting. 

Relocation Purposes: 

Students need their official and original signed and stamped letter (not a scanned PDF) to start their relocation process (apply for a PPS or bank account for example).  

They can not get this until their first day of class.

Medical Insurance Cover:

Insurance providers will often only provide insurance for exactly 8 months and not offer it for 8 months + 2 weeks for example. 

Insurance needs to be ordered from flight arrival to Ireland until the finish date on the school letter.  They may allow for 2 or 3 days extra but often not 7 and never 14. 

Immigration will want to see full cover for every day in Ireland. 

Levels

We offer 25 week English language courses for students starting from Elementary level (CEF A1) to Advanced level (CEF C2).

Common Reference Levels: 

  • Absolute Beginner A0 –  we do not offer courses for A0 
  • Elementary A1
  • Pre-Intermediate A2
  • Intermediate B1
  • Upper Intermediate B2
  • Advanced C1 is the highest starting level for a long term 6 month course
  • We can offer courses for C2 level students on shorter term courses

Visa Requiring host family and insurance procedure

  • This applies to visa requiring countries for example Colombia, Bolivia, Turkey, Mongolia, China, Peru, Ecuador).
  • We can not book apartment rooms or check for apartment availability for visa requiring students until after their visa has been approved.
  • This is because there is often late change of dates and cancellations with regards visa applications. We need to avoid late fees being charged by apartment providers.
  • We can provisionally book a host family (more flexible with date changes as we have many families).
  • The alternative is that the student or you as an agency manage the accommodation booking yourself – but make sure to change the dates in time if the visa application process takes longer than expected. This will help avoid accommodation fees.

Insurance Note:

  • The school can order Study and Protect Arachas Insurance. If you choose to order insurance yourself please note:
  • Please note students must have either Guard.me or Study and Protect -Arachas insurance.
  • These are familiar to Immigration in Cork.
  • It must be one of these medical insurances and can not  be travel insurance.

Last Minute Booking Procedure – booking with less than 4 weeks notice

  • In the case of last-minute bookings (under 4 weeks to arrival) we will send a level test before issuing invoices. 
  • If there is not enough time to receive a bank transfer into the school account ( can take 5 to 7 working days) , we may require card details to confirm the booking.
  • You can send us a single use or virtual card and we will process the payment using the school card machine (point-of-sale (POS) terminal) at the school reception. 
  • International Payment: Let your bank know that the card will be used by a card machine (point-of-sale (POS) terminal in Ireland. Card payments can be processed at the school reception desk.

Host Family Arrival and Pick-Up Procedure

We need the following details at least 28 days before course start date. The following is required for the school to secure and confirm a host family booking:

  • Saturday to Saturday or Sunday to Sunday bookings only
  • Check-in window is between 08:00 to 00.00 on date of arrival. Students must confirm a specific time within this window so we can organise the host family pick-up.
  • Host Family return transfer from either Cork Airport or Aircoach bus stop on Lower Glanmire Road ( there is only on Aircoach stop in the city) available.
  • Arrival details including time and a contact number must be sent to the school in advance in order to provide a smooth host family pick-up. This can be any number that can receive a text message, phone call or WhatsApp message. WhatsApp is useful for students who don’t have an Irish phone number but have connection to WI-FI (at the airport, on the Aircoach, in most cafes etc).
  • The school 24 hour emergency contact number: +353 86 7900 860 is available for calls or WhatsApp messages in case of emergencies or apartment check-in time delays (late flights, missed Aircoach ect).
